Abstract

Student Organisation Activity (SOA) adalah organisasi yang mengawasi dan mengatur berbagai kegiatan kemahasiswaan di UPH. SOA mengurus berbagai proses administrasi yang berhubungan dengan kegiatan yang akan diadakan di sekitar kampus. Proses yang ditangani oleh SOA antara lain dokumentasi, pengisian dan pengumpulan formulir, dan pengaturan data dari berbagai unit dalam universitas. Saat ini proses tersebut masih dilakukan secara manual sehingga SOA membutuhkan aplikasi yang dapat membantu dan meningkatkan alur kerjanya. Tugas akhir ini mendeskripsikan perkembangan dari aplikasi web yang dapat mengatasi berbagai permasalahan dan keterbatasan yang dihadapi sistem manual saat ini, mengurangi adanya penundaan dengan memfasilitasi komunikasi antar unit, serta menyederhanakan proses approval kegiatan dan proses booking fasilitas Metode prototyping digunakan untuk membangun dan mengembangkan aplikasi berbasis web ini. Metode ini terdiri dari empat tahap yaitu perencanaan, analisis, perancangan, dan implementasi. Perencanaan terdiri dari identifikasi sistem dan analisis kelayakan sistem. Analisis sistem saat ini dilakukan dengan cara mengumpulkan requirements menggunakan wawancara, analisis dokumen, dan observasi lalu memodelkan sistem menggunakan UML. Tahap selanjutnya adalah perancangan database, interface. Tahap selanjutnya adalah tahap implementasi yang terdiri dari tahap konstruksi sistem menggunakan PHP dan MySQL dan instalasi dan operasi. Empat tahap ini dilakukan berulang-ulang dalam sebuah siklus, dimana dalam tiap tahapnya terdapat umpan balik untuk perbaikan. Aplikasi ini memudahkan pengguna untuk mengajukan proposal kegiatan, menghasilkan laporan proposal berupa PDF, laporan pertanggungjawaban keuangan (LPK), memesan fasilitas, membuat undangan dan mengkonfirmasi kehadiran. / The Student Organisation Activity (SOA) at UPH is an organization that oversees and manages several student organizations at UPH. It deals with administration processes related to events that would be hold around campus. The process include documentations, form filling and submission and data management across multiple units within the university. Because everything is still done manually, SOA requires an application that could assist and improve its workflow. This paper describes the development of a web based application that would overcome current manual problems and limitations, reduce delays by enabling communication between units, and simplify approval requests and booking requests. Method of prototyping is used to build and develop this web-based application.This method consists of four stages: planning, analysis, design, implementation. Start from planning the system with identify and analyze feasibility of the system. Then analyzing the problems of current system, gathering requirements using interviews, document analysis, and observation, and modeling the system from the functional, structural, and behavioral perspectives using UML. Then it continues to design the database structure, interface. After that, implementation is consist of construction the system using PHP and MySQL. Last stage is testing that executed based on black-box testing method with scenarios and functional testing approaches. Those four stages are repeated in cycle. Each cycle, the system is performed to user and they have their feedback. This feedback is used as input for the next cycle. This application allows users to submit proposals, generate proposal reports, financial reports, book facilities online, composing invitations and confirming attendance.
