Abstract
Document Management System (DMS) adalah sebuah sistem yang berfungsi untuk mengelola, menyimpan, dan melacak dokumen. MDS merupakan sebuah perusahaan yang bergerak di bidang retail. MDS memiliki sebuah divisi yang mengurus semua dokumen yang berkaitan dengan perusahaan yaitu Departemen Legal. Untuk membuka sebuah toko baru, Departemen Legal harus mengurus dokumen kontrak sehingga sebuah toko dapat dibuka secara legal. Namun, sistem yang berjalan saat ini masih manual, sehingga dapat terjadi human errors. Tujuan penelitian adalah untuk merancang sebuah sistem yang dapat membantu dalam mengelola dokumen, menyimpan dokumen, melacak dokumen dan mengirim reminder secara otomatis kepada semua divisi yang berkaitan dengan dokumen. Metode pengembangan sistem yang digunakan adalah metode prototyping. Perancangan sistem dilakukan dengan pemodelan Unified Modelling Language (UML). Bahasa pemrograman yang digunakan untuk merancang sistem adalah PHP dengan framework CodeIgniter. MariaDB digunakan sebagai sistem manajemen basis data. Hasil penelitian menunjukan bahwa peran DMS meningkatkan efisiensi waktu Departemen Legal dalam mengurus dokumen kontrak. Hal ini dikarenakan DMS menyediakan fitur untuk mengirimkan reminder via email secara otomatis, sehingga tidak perlu menunggu informasi dari divisi yang terkait dengan dokumen tersebut. Selain itu peran DMS juga membantu Departemen Legal untuk melacak dokumen yang sudah direvisi, dan memudahkan user yang terkait untuk melihat dokumen sehingga tidak semua user dapat melihat dokumen tertentu. / Document Management System (DMS) is a system that is used to manage, store, and track documents. PT Matahari Department Store (MDS) has a division that handles all of the documents that are related to the company which is known as Legal Department. In order to open a new store legally, the Legal Department must arrange the appropriate contract documents. Its current system operation at manual mode which is prone to human error. The purpose of this research is to propose a system that helps Legal Department in managing documents, storing documents, tracking documents and send reminders automatically to every Department that related to document. The system development method using prototyping method. System design is modeled with Unified Modeling Language (UML). The system is developed using PHP with CodeIgniter as framework, while MariaDB is used for managing its database. The result of this research concludes that DMS increases efficiency by reducing the time take to manage the document. Because the DMS provides an automatic reminder, so there is no need to wait for information from the divisions that related to the documents. DMS also helps the Legal Department to track the revised documents and makes it easier for the associated users to view documents which are available for them.
